How to: Add a Link to a Related Entity

Quick Steps

In a record for an entity, if you determine that there is a need to link this entity data to data for another entity:

  • Find the appropriate relationship element, e.g.:
    • In a Work record, find the 'Expression of Work', or the 'Creator', or the 'Other Person, Family, or Corporate Body Associated with a Work', or the 'Related Work' element
    • In a Manifestation record, find the 'Exemplar of Manifestation', or the 'Expression Manifested', or the 'Related Manifestation' element, etc.
    • Etc.
  • Click on the element name to see whether there is a more specific relationship designator that you can use
    • Choose a more specific designator if it applies
  • Right-click on the text box for the relationship element, and select:
    • Link to (EI)–to link to an existing record
    • Search for name in NAF <F3>–to find and import an outside record, and link to it
    • Create new ... –to create and link to an appropriate new record
    • Enter text (unlinked)–to enter either:
      • a controlled heading (AAP) for the related entity
      • a description of the related entity (if allowed for that particular relationship)
  • If you choose one of the linking options above, RIMMF adds a link to the related record, and automatically adds a back-link in the record for the related entity, using the RIMMF Identifiers for each record

Detailed Steps

To link from a relationship element in one record to a related record:

  • Find the appropriate relationship element, e.g.:
    • In a Work record, find:
      • the primary relationship element:
        • Expression of Work
      • a secondary relationship element:
        • Creator
        • Other Person, Family, or Corporate Body Associated with a Work
        • Related Work
    • Etc.
  • Click on the Element name to see whether there is a more specific relationship designator that you can use
    • If a list of relationship designator elements is long, you can see it in a more structured view:
      • Enter <F7> to see grouped designators
      • Expand [+] boxes to see more specific designators
    • To see the definition for the elements:
      • Click on the Element Options column
      • Select 'Show definition'
    • Choose a more specific designator if one applies
  • Right-click on the text box for the relationship element, and select one of the following options:
  • Link to (EI)
    • This displays an alphabetical list of the Authorized Access Points (AAP) of the entities that are appropriate for the type of relationship and that are already in the Entity Index. If you are selecting: 'Expression of Work' then only Expression AAP will display; Creator, then only Person, Family, and Corporate Body AAP will display; etc.
    • In a long list:
      • Use the up and down arrows to find the AAP for the entity that you need
      • Type the first letter of the AAP for the entity that you seek, to start at the beginning of the list of AAP that begin with that letter
    • If you find the AAP that you need, select the AAP
    • RIMMF adds a link in the starter record to the related record, and automatically adds a back-link in that related record, using the RIMMF Identifiers (RID) for each record; and displays the AAP and the RID for the related entities in each record
    • You can double-click on the AAP+RID to see the related record and the back-link to the original record
  • Search for name in NAF <F3>
    • This takes you to the RIMMF Search & Retrieve Tool
    • Follow the steps outlined **here** to find and import an outside record, and link to it
    • RIMMF adds a link in the starter record to the imported related record, and automatically adds a back-link in that related record, using the RIMMF Identifiers (RID) for each record; and displays the AAP and the RID for the related entities in each record
    • You can double-click on the AAP+RID to see the original record and the back-link to the imported record
  • Create new …
    • Follow the steps outlined **here** to create and link to data for an appropriate new entity
    • RIMMF adds a link in the starter record to the new related record, and automatically adds a back-link in that related record, using the RIMMF Identifiers (RID) for each record; and displays the AAP and the RID for the related entities in each record
    • You can double-click on the AAP+RID to see the original record and the back-link to the new record
  • Enter text (unlinked)
    • This allows you to enter either:
    • a controlled heading (AAP) for the related entity (e.g., RDA 18.4.1.2)
    • a description of the related entity (if allowed for that particular relationship, e.g., 24.4.3))
