How to: Import a MARC Authority record for an Expression
Quick Steps
Warning! If you want to import an Expression of a Work, start with the Expression–it will bring its Work with it.
- First, find the Expression record that you wish to import:
- Click <F3> to open the RIMMF Search & Retrieve Tool
- Find and select the record you wish to import
- Click <Import>
- At this time:
- If a record is already present in your Entity Index then RIMMF does not recognize this and does the same as the below (when no record is already present)
- If a matching Expression record is not already present in your Entity Index, then RIMMF:
- maps as much as possible from the MARC record into a RIMMF record for the Expression
- finds the related Work record, and maps as much as possible from the MARC record, for it, into a RIMMF record for the related Work
- looks for headings in the MARC record for related Agent(s):
- if RIMMF does not find any Agent headings in the MARC record, then RIMMF displays the headings for the temporary Work and Expression records in an R-Tree, with the checkbox checked (ready for import)
- Click <Import | Selected records> to import the Work record and the Expression record
- Click <Import | Discard Selected records> to discard the Work record and the Expression record
- if RIMMF finds a heading for an Agent in your EI, it checks to see whether a record for the Agent is already in your Entity Index
- if the Agent record is in your EI, RIMMF displays an R-Tree showing the heading for the temporary Work and Expression records (with the checkboxes checked–ready for import) and the heading for the Agent record from the EI (with the checkbox unchecked–not ready for import)
- Click <Import | Selected records> to import the Work and Expression records only
- Click <Import | Discard Selected records> to discard the Work and Expression records only
- if the Agent record is NOT in your EI:
- RIMMF looks for a MARC Authority record for the Agent, and:
- if it finds it, maps as much as possible from the MARC record into a RIMMF record for the Agent
- if it doesn't find a MARC Authority record for the Agent, then it creates a temporary Agent record
- displays an R-Tree showing the heading for the temporary Work and Expression records and the heading for the temporary Agent record (with all checkboxes checked–ready for import)
- Click <Import | Selected records> to import the Work, Expression, and Agent records
- Click <Import | Discard Selected records> to discard the Work, Expression, and Agent records
- If you <Discard Selected Records>:
- then they are completely discarded
- If you <Import | Selected Records> and you invoked <F3>:
- from a relationship entity, then that entity will be linked appropriately to the imported Expression record
- not from a relationship entity, then the imported Expression record will not be linked to anything
