Using RIMMF. Tutorial #1, Import a NAF record for a Person
In this tutorial we will learn how to:
- Make a new, empty data folder of RIMMF records
- Import a MARC authority record for a Person from the NACO Authority File (NAF) to that folder.
Open RIMMF
- Find and open the RIMMF program
If this is the first time that you have opened the program, just be sure that you have set up your record prefix.
Notice that the Data folder in use is probably: '\Data\' This is shown at the bottom of the RIMMF screen, e.g.: 'Data folder: Documents\RIMMF3\Data\'
Make a New Data Folder called 'Goudge' as a New Default Folder
First, you need a new data folder, just for these Tutorials; so your first step is to create that folder, and, at the same time, make it your default folder:
- Note that you want to name your new folder 'Goudge'
- Return to this page, once you have made the New folder
- Open the following instructions in a new Window, so that you can see those instructions and these at the same time:

Now you are ready to begin adding records to your folder. We will begin by importing a MARC authority record for a Person from the NACO Authority File (NAF).
Import a NAF record for a Person
Find and View the Person Authority Record for Importing
- Open the RIMMF Search and Retrieval Tool <F3>
- Read more about how to use this tool **here** before proceeding.
- Enter this name in the 'Terms' box: Goudge, Elizabeth
- Capitalization does not matter, but punctuation does
- Leave the Search Source at the default: [ID]NAF
- Hit <Enter> or click <Search>
Note that you are shown only 10 hits, but in those hits are two possible matches for your Person. Always remember to check the records you find, to be sure that they correctly match what you are seeking.
- Click <View MARC> for each of the two possible matches
The one you want is Goudge, Elizabeth, 1900-1984
- With that heading selected:
- Move her MARC record to the side
- Click <Import>
- Notice which MARC data:
- mapped over, and to where
- did not map over
Consider sending TMQ advice on how to map whatever did not map.
- Click <Discard>
See what happens--the record is discarded
- Close the MARC record
Import, then Delete the Person Record
At the Search and Retrieval Tool <F3>:
- Select 'Goudge, Elizabeth, 1900-1984', again
- Click <Import> again
- Click <Add record>
- Click the <R-Tree> button (bottom right of the screen)
The R-Tree opens, and shows the single record that was imported with no related records
- Double-click the 'Heading' for Elizabeth
This returns you to her record
- Click File | Delete or <Ctrl+F11>
- Click <Yes> to confirm deletion
- Click <OK>
The heading might still show in the R-Tree, ignore it and just close the R-Tree if it is still open
Import the Record Again, and Work with the EI
Return to the RIMMF Search and Retrieval Tool <F3>, again
- Search: Goudge, Elizabeth, 1900-1984
This time, that heading should appear at the top of the list with the heading already selected
- Click <Import>
- Click <Add record>
- Close the record (Click the [X])
- Open the Entity Index <Ctrl+E>
- Select the Composite Key for Elizabeth
- Click the <Open selection> button (top left of the screen)
This returns you to her record
- Close the record (Click the [X])
- Select Composite Key for Elizabeth, again
- Click the <Delete selection> button
- Read the message
- Click <Yes> to confirm deletion
- Click <OK>
- Close the EI
Import the Record Again, and Add Data to it
Return to the RIMMF Search and Retrieval Tool <F3>, again
- If the “Goudge, Elizabeth, 1900-1984” heading is not highlighted, search it again and select it
- Click <Import>
- Click <Add record>
- Close the record (Click the [X])
- Reopen the EI <Ctrl+E>
- Select Composite Key for Elizabeth
- Click the down arrow at <Open selection>
- Select <person template TMQ.txt>
This opens the record in the default TMQ Person template, with empty elements, some of which you might be able to fill, with a little research.
- Enter <F3>
Now we are going to try to find out more about this author,
from a different source.
- In the Search Source box, select: Wikipedia
- Change the search term to: Goudge, Elizabeth
- Click <Search>
You can read the Wikipedia article if you like, but the main thing to note is that our author is aka Elizabeth de Beauchamp Goudge.
- Return to her Person record
- Find the Element Label: Variant Name for the Person
- Enter ' Goudge, Elizabeth de Beauchamp ' (in the correct format) in the Text box for that element
- <Enter>
- Click on the RDA Rule # (9.2.3) to see the instructions for this element
You will need a subscription to the RDA Toolkit, in order to access RDA instructions
- Return to the Person record
- Click on Label for the 2nd 'Source Consulted'
- Copy that element (see How to: Copy an Element) to open a blank Text box for that element
- Click the <Prev> button on the bottom left of the RDA Toolkit screen, to get back to the Wikipedia article
- Copy the URI for the Wikipedia entry (from the bottom of the Wikipedia screen, to the right of the <Prev> and <Next> buttons
- Paste the URI in the empty Text box for the 'Source Consulted':

- <Enter>
- Close Wikipedia
- Close the Person record
- Click <Yes> to save the changes
Import the record again, this time as a duplicate
Return to the RIMMF Search and Retrieval Tool <F3>, again
- Select Search Source: [ID]NAF
- Search: Goudge, Elizabeth, 1900-1984
- Click <Import>
The Person record that you are trying to import is already in your Entity Index, so RIMMF opens that record with the message: "This entity record is already in your EI"
This means that we found this Person entity record already in your EI (Entity Index). You should go back to the record you were trying to import <F3> and View the MARC record for it again, <Select> and <View MARC>, to be sure it really is the same as the record that RIMMF says is a match. RIMMF matches on the data for the following elements: - Identifier for the Person (e.g., LCCN) - AAP for the Person
If the incoming record is not the same as the EI record, then change something in the incoming or EI record to prevent the incoming record from matching to the EI record. If the incoming record is indeed the same as the EI record, then see whether there is anything new that you could add from the incoming to the EI record. There is nothing new to add to this EI record.
- Close the record
View the R-Tree for your set
- Go to the EI <Ctrl+E>
- Select the Goudge heading
- Click the <Open in R-Tree> button; or <Alt+R>
Notice that we have: 1 Person record
- Double-click on the Goudge heading
This opens the Person record again
End this Tutorial
- Return to the Main form
- From a record, choose Help | Return to Main form <Ctrl+Alt+H>
- From the Main menu, choose File|Close everything
